In nearly every case the sample itself was fine. What went wrong was that it was never defined as an approval document, so nothing enforceable came out of it. Here is how the process should run, what each sample type proves, and what to check before you sign anything off.

What Each Sample Type Actually Proves

A stock sample proves the shape exists, nothing more; it is usually taken from a shelf and has no relationship to your order. A pre-production sample (PPS) is made to your spec on the production line and is the piece you should be approving. A production sample is pulled from the actual run and is what tells you whether the line held the tolerance after the PPS. A golden sample is the signed reference copy that both parties keep. A lab sample is a piece from the same firing batch sent for lead and cadmium testing. Buyers who approve only a stock sample are approving a photo, not a product.

Timeline and Cost

Realistic numbers: a stock sample ships in 3-5 days. A decorated pre-production sample takes 7-15 days depending on whether the glaze and decal are already in the factory. A new shape needs the mould first, which is 10-15 days, then a sample cycle of 5-7 days, so expect 3-4 weeks to first sample. Sample cost runs $50-150 for a decorated piece and is normally credited against the order. Express shipping is $25-60 per shipment. Budgeting two revision rounds is honest; budgeting zero is how programmes slip a month.

What to Measure When It Arrives

Use callipers, not eyes. Check fired diameter and height against the approved spec: +/-2% is the normal tolerance, which is +/-1.9 mm on a 95 mm mug. Weigh it: weight tolerance is +/-5%, and a mug quoted at 340 g arriving at 285 g has less clay in it, which changes chip resistance more than any glaze choice. Check the interior under a light for crazing, which means under-firing. Ask for the water absorption figure for that firing batch: below 0.5% for porcelain and 1-3% for stoneware. Pull the handle with about 3 kg of force and watch the joint rather than the handle. If the spec is for dishwasher use, ask how many cycles the decoration survived in testing rather than accepting “dishwasher safe”.

Turning a Sample Into an Approval Document

A sample only protects you if it is documented. Sign and date the golden sample, photograph it from six angles next to a ruler, and record the measured weight and fired dimensions on the approval sheet. Keep one signed piece at the factory and one in your office; when a dispute arrives in shipment four, the reference should not be in someone’s email attachments. Write into the PO that the golden sample governs production, and that any deviation beyond the stated tolerance is grounds for remake or credit. Factories sign this because it is clear, and the ones that resist are telling you something.

The Sample Mistakes That Cost the Most

First, approving a hand-finished sample: decoration applied by a technician for a photo will not match a decal run at volume. Second, approving verbally, which leaves you with no remedy when colour drifts. Third, changing artwork after approval, which resets the clock and often the decal plate fee of $120-400. Fourth, running three revision rounds on a $0.40 mug and spending six weeks to save a few cents per unit. Fifth, testing the sample for water absorption and then never asking for the batch report on the production run, when that is the number that varies most between firings.

Getting Samples Fast Without Cutting Corners

Samples travel by express courier, and how they are declared decides whether they arrive in four days or eleven. Mark them as commercial samples with a low declared value and a correct HS code rather than as a personal gift, which is the version customs holds. Consolidate everything into one shipment: if the factory is sending a glaze tile, two mugs and a printed box, put them in the same carton instead of three separate parcels, because three parcels means three clearance events. Ask for the lab report as a PDF alongside the physical sample, since lead and cadmium testing takes 5-7 days and can run in parallel with the courier. Never ship the sample with the production carton still undecided, because the box is usually what arrives damaged.

Approve a Document, Not a Feeling

A sample programme is three documents: the spec sheet, the signed golden sample and the batch report. Get those three and the production run has nowhere to hide; skip them and every shipment becomes a negotiation. Send us your spec and we will tell you what can be held on the line and what needs to be stated as a range.

Product detail: Affordable Ceramic Mug Set – Durable Coffee Cups with OEM Customization Service.
